Terms of Service
Last updated: 5 April 2026
These are the terms that apply when you use RepairKeeper. By creating an account you agree to them, so please read them. We've aimed to keep them plain and fair.
1. The basics
RepairKeeper is a software-as-a-service product operated by DannStarr Electronics Limited, a company registered in England and Wales (company number 12724832), with its registered office at 61 Rotten Row, Pinchbeck, Spalding, PE11 3RQ. In these terms, "we", "us", and "our" mean DannStarr Electronics Limited, and "RepairKeeper" means our web application at app.repairkeeper.co.uk and any related services.
"You" and "your" refer to the person or business using RepairKeeper. If you are using RepairKeeper on behalf of an organisation, you warrant that you have authority to bind that organisation to these terms.
By creating an account, you agree to these terms and to our Privacy Policy. If you do not agree, please do not use the service.
2. Your account
Registration
To use RepairKeeper you need an account. You agree to provide accurate information, to verify your email address, and to keep your account details up to date.
Security
You are responsible for keeping your password secure and for any activity that happens under your account. Enable two-factor authentication where possible. Tell us promptly at [email protected] if you suspect your account has been compromised.
Team members
If your plan includes additional team members, you can invite them to your organisation. You remain responsible for their activity and for ensuring they agree to these terms.
3. What RepairKeeper provides
RepairKeeper is a workshop management platform for repair businesses. It helps you manage tickets, customers, inventory, invoicing, quoting, and related workflows. Features available to you depend on the plan you are subscribed to — see the pricing page for current details.
We continuously improve RepairKeeper, which means features may change, be added, or occasionally be removed. Where we make material changes that reduce functionality available to you, we will give you at least 30 days' notice by email.
4. Plans, fees, and billing
Free plan
The Free plan is available without charge, subject to the limits published on the pricing page. Free accounts are subject to the inactivity policy set out in Section 11.
Paid plans
Paid plans are billed monthly or annually in advance through our payment processor, Stripe. By subscribing, you authorise us (via Stripe) to charge your chosen payment method on the billing cycle you select. All prices are in GBP and, where applicable, inclusive of VAT.
Price changes
We may change pricing from time to time. We will give you at least 30 days' notice by email before any price change takes effect. If you do not accept the change, you may cancel before it takes effect and continue on your existing plan until the end of your current billing period.
Refunds
Subscription fees are non-refundable except where required by law or where we have materially failed to provide the service. If you believe you are entitled to a refund, please contact us.
Failed payments
If a payment fails, we will attempt to collect it again. If we cannot collect payment within a reasonable period, we may suspend or downgrade your account.
5. Your data
You own your data
You retain all rights and ownership in the data you enter into RepairKeeper (including your customer records, tickets, invoices, and uploads). We do not claim ownership of your data and do not use it for any purpose other than operating the service for you.
Data processing
You act as the data controller for your customers' personal data. We act as the data processor, processing it on your documented instructions as set out in our Privacy Policy and this agreement. In that capacity, we will:
- Only process your customer data to provide and improve the service
- Apply the security measures described in our Privacy Policy
- Ensure that personnel with access are subject to confidentiality obligations
- Engage sub-processors only under written agreements with equivalent obligations, and notify you of material changes
- Assist you, as required by UK GDPR Articles 32–36, with your security, breach-notification, and DPIA obligations
- On termination, delete or return your customer data per Section 11 below
Your responsibilities: you must have a lawful basis to collect and store personal data in RepairKeeper, provide your own customers with a privacy notice, and respond to their data subject requests. We will assist where we reasonably can.
Data export
You can export your data at any time via the export tools built into RepairKeeper. If you need assistance or a format we don't natively support, contact us.
6. Acceptable use
When using RepairKeeper, you agree not to:
- Use the service for any unlawful purpose, or to store or distribute unlawful content
- Send spam, unsolicited marketing, or bulk unsolicited communications via RepairKeeper's email features
- Upload, transmit, or distribute malicious code, viruses, or harmful content
- Attempt to gain unauthorised access to accounts, systems, or data that do not belong to you
- Reverse-engineer, decompile, or scrape the service other than via our documented API
- Use the service to build a competing product or to copy its functionality
- Resell, sublicense, or otherwise commercially exploit the service without our written permission
- Impose unreasonable load on our infrastructure (for instance, through scripted or automated activity that exceeds normal human use and is not documented in our API terms)
We may suspend or terminate accounts that breach these rules. For severe breaches we may do so without notice.
7. Service availability
We aim to keep RepairKeeper available and performing well at all times, but we do not guarantee uninterrupted service. RepairKeeper is provided on a "reasonable efforts" basis. We do not offer a contractual uptime SLA on the Free plan. Paid plans receive higher-priority support.
We may perform scheduled maintenance from time to time and will aim to do so outside UK business hours. We may also need to take the service down in response to security incidents or urgent operational issues.
8. Intellectual property
The RepairKeeper software, brand, logo, and all associated intellectual property belong to DannStarr Electronics Limited. These terms grant you a limited, non-exclusive, non-transferable right to use the service during the term of your subscription. Nothing in these terms transfers any of our intellectual property to you.
Any feedback or suggestions you send us about RepairKeeper may be used by us without obligation or compensation to you.
9. Third-party services
RepairKeeper integrates with third-party services (such as Stripe for payments). Your use of those services is governed by their own terms, which you should review. We are not responsible for third-party services or their availability.
10. Termination
By you
You can cancel your subscription or delete your account at any time from the settings area or by emailing us. Cancellation takes effect at the end of your current billing period. You can also delete your organisation entirely, which will schedule your data for permanent deletion.
By us
We may suspend or terminate your account if you materially breach these terms, fail to pay, or use the service in a way that exposes us or other users to harm or legal risk. Except in emergencies, we will give you notice and a reasonable opportunity to fix the problem first.
11. Inactivity policy and data deletion
To keep the service tidy and minimise data we don't need, Free-plan accounts with no ticket activity are subject to a staged deletion process:
- Day 90 of inactivity — warning email
- Day 120 — final warning email
- Day 150 — account suspended (you can reactivate with a single click)
- Day 210 — data scheduled for permanent deletion
- Day 240 — data permanently deleted
Any ticket activity resets the clock. Paid accounts are not subject to this policy while your subscription is active.
On termination or deletion of your account, we will delete your data from active systems within 30 days. Backup copies may persist for up to 30 days further before full rotation. We may retain minimal records required for legal compliance (e.g. billing records retained for 7 years for HMRC).
12. Warranties and disclaimers
We provide RepairKeeper with reasonable skill and care. To the fullest extent permitted by law, RepairKeeper is otherwise provided "as is" and "as available", without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
We do not warrant that the service will be uninterrupted, error-free, or that it will meet your specific business requirements. You are responsible for ensuring RepairKeeper is suitable for your needs before relying on it.
Nothing in these terms limits or excludes any liability that cannot lawfully be limited or excluded, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.
13. Limitation of liability
Subject to the paragraph above, to the fullest extent permitted by law:
- Neither party will be liable to the other for any indirect, special, incidental, consequential, or punitive damages, including loss of profits, loss of revenue, loss of goodwill, loss of data (beyond our express obligations under Section 5), or business interruption
- Our total aggregate liability to you arising out of or in connection with the service, whether in contract, tort (including negligence), or otherwise, is limited to the total amount paid by you to us in the 12 months immediately preceding the event giving rise to the claim, or £100 if you are on a Free plan or have not paid us anything in that period, whichever is greater
14. Indemnity
You agree to indemnify us against any losses, claims, or damages arising from: (a) your breach of these terms; (b) your misuse of the service; (c) your breach of applicable law; or (d) any claim by a third party relating to data or content you have entered into RepairKeeper.
15. Changes to these terms
We may update these terms from time to time. For material changes we will notify active users by email at least 30 days before the change takes effect. Your continued use of the service after a change takes effect means you accept the updated terms. If you do not accept them, you may cancel your account before they take effect.
16. Governing law and jurisdiction
These terms and any dispute arising out of or in connection with them are governed by the laws of England and Wales. You and we agree to submit to the exclusive jurisdiction of the courts of England and Wales.
17. General
Entire agreement
These terms, together with our Privacy Policy and any plan-specific terms on the pricing page, form the entire agreement between you and us regarding RepairKeeper.
Assignment
You may not assign these terms without our written consent. We may assign these terms in connection with a merger, acquisition, or sale of assets, on written notice to you.
Severability
If any provision of these terms is held invalid or unenforceable, the remaining provisions will remain in full force and effect.
No waiver
Our failure to enforce any right or provision will not be a waiver of that right or provision.
Third-party rights
No person other than you and us has any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce these terms.
